Volunteer Opportunities

Welcome & Guest Experience

Welcome sailors, coaches, and families to Pumpkin Bowl. Help with registration, sail check, event materials, and participant questions while creating a positive first impression of the regatta.

Help staff Pumpkin Bowl’s information and volunteer hub. From volunteer check-in and spectator activities to answering questions and sharing event information, you’ll help keep sailors, families, volunteers, and guests informed and supported throughout the weekend. A fun, people-focused role at the centre of the event.

Help recognize sponsors, donors, and VIP guests who support Pumpkin Bowl. From sponsor displays to guest hospitality, you’ll help ensure supporters feel welcomed, appreciated, and engaged throughout the event.

Help connect visiting sailors and families with local host families. You’ll support communications, accommodation matching, and guest support while helping make Pumpkin Bowl accessible to participants travelling from outside the region.

Racing and Waterfront Operations

Help ensure sailors are ready to head on the water and safely accounted for when they return. You’ll assist with competitor sign-out and sign-in procedures and help confirm sailors have the equipment and clothing they need for the day’s conditions. A great role for organized volunteers who enjoy interacting with sailors and families.

Help keep boats moving safely and efficiently between the boat park and the water. You’ll assist sailors with launching and retrieval while helping maintain an organized waterfront. A fast-paced role that’s close to the action all day.

Help prepare, distribute, track, and retrieve the equipment that keeps Pumpkin Bowl running smoothly. From race marks and radios to safety equipment and flags, you’ll help ensure everything is available where and when it’s needed.

Help keep information flowing between the race courses and shore-side operations. You’ll support event communications, safety procedures, and competitor accountability throughout the day. A valid ROC-M licence is required.

Provide first aid support during the regatta. We welcome qualified first aid attendants, nurses, paramedics, physicians, and other healthcare professionals who can assist with competitor, volunteer, and visitor safety.

Compile, verify, and publish race results and standings throughout the regatta. Experience with ClubSpot scoring and previous regatta scoring experience is highly desirable. A great role for detail-oriented volunteers who enjoy accuracy and working behind the scenes.

Support the volunteers and officials who make racing happen. Working closely with the Principal Race Officer (PRO), this role helps coordinate race committee, safety boat, and mark-set volunteers and resources and assists with volunteer briefings and communications. Perfect for someone interested in learning more about race management.

Hospitality & Services

Pumpkin Bowl shirts are one of the event’s most popular traditions. Help organize, inventory, sort, label, and distribute event apparel and participant giveaways for sailors, volunteers, and guests throughout the regatta. This role plays an important part in ensuring everyone receives the correct items and that apparel distribution runs smoothly. Perfect for detail-oriented volunteers who enjoy organization, teamwork, and helping create a positive Pumpkin Bowl experience.

Be part of the team that fuels the volunteers who make Pumpkin Bowl possible. You’ll help prepare lunches while working alongside a fun and energetic group of fellow volunteers. Fun for volunteers who enjoy teamwork, a good old-fashioned assembly line, and contributing to the ongoing pursuit of the perfect Pumpkin Bowl “Sandwitch.”

Assist with ticket sales, payment processing, and event purchases throughout the regatta. Perfect for volunteers who enjoy a mix of customer service, organization, technology, and being part of the hub of activity throughout the regatta.

Help bring Pumpkin Bowl’s hospitality events to life. Working alongside Club staff and volunteers, you’ll support the popular Volunteer Appreciation BBQs, regatta dinners, refreshments, and other food and beverage activities that help make the event special.

Transportation, Facilities & Event Support

Help keep the event running smoothly by supporting parking operations, traffic flow, trailer storage, and venue logistics. An excellent role for problem-solvers who enjoy helping things run efficiently behind the scenes.

Assist with launching and retrieving coach boats, safety boats, and other support vessels using Club lifting equipment. Operators must be authorized and certified by WVYC.

Working closely with the Volunteer Coordinator, help support the volunteers who make Pumpkin Bowl possible. You’ll welcome volunteers, assist with check-in, answer questions, help people find their assignments, and provide day-of support throughout the event. A great role for someone who enjoys working with people, solving problems, and helping create a positive volunteer experience.

Help transport sailors, volunteers, and guests between designated event locations. A valid driver’s licence, safe driving practices, and a helpful attitude are required.

Help bring Pumpkin Bowl’s hospitality events to life. Working alongside Club staff and volunteers, you’ll support the popular Volunteer Appreciation BBQs, regatta dinners, refreshments, and other food and beverage activities that help make the event special.

Activities & Community

From pumpkin carving and boat building to face painting, crafts, games, and visits from the famous Pumpkin Bowl Witch, these activities are often the highlight of Opti Weekend for younger sailors. A fun, high-energy role for volunteers who enjoy creativity, enthusiastic kids, and helping bring a little Pumpkin Bowl magic to life.

Help set-up and run the Pumpkin Bowl Gear Swap. A relaxed, community-focused role for volunteers who enjoy helping others discover a great find.

Support the many moving parts of Pumpkin Bowl throughout the weekend. You may help with schedules, logistics, communication, and problem solving while gaining exposure to nearly every aspect of the event.

Event Presentation

Be one of the voices of Pumpkin Bowl. Help with announcements, sponsor recognition, event updates, and awards presentations while contributing to the energy and atmosphere of the event.

Help celebrate the sailors, volunteers, sponsors, and supporters who make Pumpkin Bowl special. You’ll assist with awards ceremonies, trophies, prizes, giveaways, and volunteer recognition activities.

Media & Communications

Capture the excitement of Pumpkin Bowl through photography and videography. Help document racing, shore activities, volunteers, sponsors, and memorable moments throughout the event.

Help tell the Pumpkin Bowl story through social media, photography, event updates, and sponsor recognition. A great role for volunteers interested in communications, marketing, content creation, or storytelling.

All On-Water Opportunities

Help deliver high-quality racing on the water through race course management, starting procedures, race administration, and coordination of race committee activities. Race Officers play a key role in creating a safe, fair, and enjoyable racing experience for sailors. Pumpkin Bowl welcomes both experienced and developing Race Officers. The event provides an excellent opportunity to work alongside knowledgeable race management volunteers and gain experience in a dynamic environment known for its varied fleets, complex race management requirements, and unique sailing conditions.

Help set and maintain the race courses used throughout the regatta. Mark-Set Teams deploy, adjust, monitor, and retrieve race marks, helping ensure courses remain accurate and fair as conditions change. Pumpkin Bowl uses both traditional and robotic race marks, making this a great opportunity to be part of the racing action while learning more about race management and course operations.

Radio Operators may work directly with Pumpkin Control shore-side or aboard safety boats and other support vessels. A valid ROC-M licence is required.

Help support fair and enjoyable racing by interpreting and applying the Racing Rules of Sailing. Judges and Umpires assist with protests, requests for redress, rules questions, and other race-related matters while helping competitors, coaches, and race officials navigate the rules process. This role contributes to the integrity of the competition and helps ensure sailors can compete with confidence. Certification and previous judging or umpiring experience are highly desirable.

Help support sailor safety and race operations on the water. Safety Boat Teams monitor racing, assist competitors when needed, respond to safety concerns, and work closely with race management throughout the regatta. Operators may offer to use their own vessel or use an assigned support boat. A valid Pleasure Craft Operator Card (PCOC) is required for operators, and experience around racing and sailing events is an asset.

Provide spectators with a safe and enjoyable opportunity to view racing from the water. Skippers also support sailor welfare when needed and work closely with safety teams and Pumpkin Control. An excellent role for experienced boat operators who enjoy sharing the excitement of sailing with others.

Wild Card Volunteers help wherever they’re needed most and are often some of the most valuable members of the Pumpkin Bowl team. These roles are ideal for volunteers who enjoy variety, meeting new people, and pitching in where an extra set of hands is needed.

No previous experience is required. Just bring a positive attitude and a willingness to help.

Help wherever needed ashore. You may assist with registration, hospitality, lunches, apparel distribution, spectator activities, awards, set-up, take-down, transportation support, or other event activities as needs arise throughout the day.

This role is perfect for volunteers who enjoy variety and want to contribute without committing to a specific area.

Help wherever needed on the water. You may assist with launching and retrieval, sailor support, race management activities, equipment movement, communications, or other operational tasks as conditions and priorities change throughout the day.

This role is ideal for flexible volunteers who enjoy variety, like being close to the action, and are happy jumping in wherever an extra set of hands is needed.

Operations

Ever wondered what it takes to get hundreds of sailors, coaches, volunteers, and boats moving safely and efficiently through a regatta weekend? From Registration and Launch to Parking, Equipment, Race Management, and Pumpkin Control, the Operations team helps keep Pumpkin Bowl running smoothly both on shore and on the water.

If you enjoy organization, teamwork, problem-solving, or simply being at the centre of the action, Operations offers a wide variety of opportunities. No previous experience is required, and many roles provide a fascinating behind-the-scenes view of how a major sailing event comes together.

Hospitality

One of the things that makes Pumpkin Bowl special is the welcoming atmosphere created by our volunteers. The Hospitality team helps ensure sailors, families, volunteers, sponsors, and guests feel informed, supported, and appreciated throughout the event.

Whether helping at the Information Desk, coordinating volunteer lunches, supporting food and beverage services, arranging billets for visiting sailors, distributing apparel, or welcoming sponsors and VIP guests, these roles are perfect for volunteers who enjoy connecting with people and helping create positive experiences.

Activities, Recognition & Community

Pumpkin Bowl is about more than racing. Activities such as Kids’ Entertainment, the Gear Swap, awards ceremonies, volunteer recognition, prize draws, and event announcements all help create the unique community atmosphere that participants remember long after the final race.

These roles are ideal for volunteers who enjoy creating memorable experiences, celebrating achievements, and helping bring people together. Whether you’re organizing awards, helping with family activities, or working alongside the Master of Ceremonies, you’ll play a key role in shaping the spirit of the event.

Media & Promotion

Every year Pumpkin Bowl creates incredible moments both on and off the water. The Media & Promotion team helps capture and share those stories through photography, videography, social media, sponsor recognition, and event communications.

We’re looking for volunteers who enjoy storytelling, photography, social media, communications, or simply helping celebrate the people who make Pumpkin Bowl special. Experience is always welcome, but enthusiasm and a willingness to learn are equally valuable.

Not at all! We are always excited to welcome new volunteers to the Pumpkin Bowl team.

Many of our volunteers are helping for the very first time. Your Volunteer Lead will explain your role, answer any questions, and make sure you feel comfortable before you get started. If you’re willing to help, we’ll help you every step of the way.

Whether you can help for a couple of hours, one shift, one day, or throughout the entire regatta, every contribution makes a difference. We understand everyone has different schedules, and we truly appreciate any time you are able to give.

The easiest way is to complete the online Volunteer Questionnaire when registration opens.

If you miss the questionnaire or decide to volunteer later, simply send us an email. We’ll do our best to find a role that matches your availability and interests.

All volunteers receive a special Pumpkin Bowl volunteer shirt to wear during the regatta.

We also recommend dressing for the weather, as October on the waterfront can bring sunshine, wind, or rain—all in the same day! Comfortable footwear and layers are always a good idea.

Yes.

Before your shift begins, your Volunteer Lead will provide an overview of your role and answer any questions you may have. Many positions involve working alongside experienced volunteers, making it easy to learn while helping.

Some on-water roles may require additional experience or certifications, but we’ll make sure you’re assigned to a role that’s right for you.

If you’re unable to make your shift, please let us know as soon as possible by contacting the Volunteer Coordinator. Early notice helps us find another volunteer and keeps the event running smoothly.
